SiteFolio Privacy Policy
Effective date: 24 October 2026

This policy explains how the SiteFolio file-sharing Android app handles information. SiteFolio helps individuals and companies keep project records, daily reports, material registers, employee assignments and task photos.
1. Information you choose to enter
The app processes the records you enter or import: company and employee names and roles; assigned projects; client and site-contact names and phone numbers; site locations you type; project dates and notes; daily work, labour counts, equipment, quantities, safety observations and issues; supplier and challan details; materials and stock movements; task instructions, dates, progress and notes; and selected photos, their filenames and captions.
These records may contain other people’s personal information. Enter, photograph and share information only when you have the appropriate authority. Avoid including unnecessary personal or confidential details.
2. How information is used and stored
SiteFolio uses these records to display your projects, calculate stock, plan work, create reports, show task-update history, and create or import files you request. Records are stored in the app’s storage on the phone. Company and Individual workspaces are stored separately. Employee work plans and pending progress are stored in a separate inbox on the employee’s phone.
The file-sharing version does not require a developer-hosted account. It does not automatically upload your site records or photos to the developer. The developer cannot normally access the records stored on your phone.
3. Photos and file access
You choose photos through Android’s file picker. The app processes selected images to attach them to task updates, resizes and compresses copies for sharing, and stores those copies with the update. It also stores their filenames and any captions you enter. Originals remain in the location you selected and are not deleted by SiteFolio.
SiteFolio uses Android’s document picker to read files you select and to save exports where you choose. It does not request broad access to your photo library, contacts, microphone or device location. A site location entered in a record is information you type, not automatically collected GPS data. The current app does not directly take camera photos.
4. Sharing with owners and employees
Sharing is initiated by you. An owner can export an employee-specific work plan containing the employee’s assignments and related project information. An employee can return a progress file containing task identifiers, status, notes, photos and update times. The owner reviews and accepts updates before they change the owner’s records. Local pairing identifiers and update identifiers help associate files and recognise duplicates.
Work-plan files are encrypted with the employee pairing code. Employee progress files are integrity-protected but are not encrypted by SiteFolio. Integrity protection helps detect changes; it does not hide the progress or photos from someone who can read the file. Backup JSON files and exported reports are also not encrypted by the app.
If you use WhatsApp, Quick Share, email, a cloud-drive provider or another app to transfer or save files, the selected service and the recipients handle those files under their own policies and controls. SiteFolio does not choose recipients or automatically send messages. Share files and pairing codes only with intended people; give pairing codes privately and keep them separate from the management PIN.
5. Management PIN and safeguards
The app stores a salted, derived verifier for the management PIN rather than the PIN in plain text. Management sessions, project locks, pairing keys, task checks and duplicate checks restrict changes through the app. The PIN controls management actions; it does not encrypt all stored records or exported backups. Pairing secrets are held in app storage, and owner backups include pairing information. Keep the phone, backups and sharing codes private. No storage or transfer method can be guaranteed completely secure.
Resetting an employee pairing stops older progress files from being accepted by the owner. It does not remotely erase files already held by an employee or another recipient.
6. Retention, correction and deletion
Local records remain until you delete supported records, replace them through a confirmed restore or import, or remove app storage. Reports can be edited or deleted. Project deletion removes that project’s associated records and task-photo history from the current workspace; archiving keeps the history. Replacing an employee plan may remove drafts for changed assignments, as described in the import confirmation.
To remove all SiteFolio records and local PINs from a phone, use Android Settings → Apps → SiteFolio → Storage → Clear storage, or uninstall the app. Back up anything you wish to keep before doing this. Clearing storage is irreversible unless you retain a usable backup or shared file.
Deleting records in the app does not delete copies previously exported to Downloads, cloud storage, messaging services, other devices or recipients. Delete those copies separately and ask recipients to manage their copies. Temporary sharing files may remain in the app cache until cleared by Android, by you, or by uninstalling. Employees should contact their company owner about records and copies the company controls. The developer cannot remotely delete data held only on your devices or by other recipients.
7. Advertising, analytics and payments
This release contains no advertising or third-party analytics SDKs and does not implement in-app purchases or subscriptions. SiteFolio does not sell your personal information. Google Play and Android may process installation, purchase or diagnostic information under their own policies; those platform processes are separate from this app’s local records.
If future releases add billing, online accounts, analytics or a hosted data service, this policy and the relevant app disclosures will be updated to describe those changes.
8. Support messages
If you email the privacy contact, Dilipkumar receives your email address, message and any attachments you send. This information is used to answer the request, investigate a reported problem or handle a privacy inquiry, and is retained only as reasonably needed for those purposes and applicable obligations. Do not send management PINs, pairing codes, entire backups or sensitive site photos unless necessary for your request. Email services also process messages under their own policies.
9. Children
SiteFolio is intended for project and workplace record keeping and is not designed for children. If you believe a child has sent personal information directly to the developer, contact the privacy email so the request can be reviewed.
10. Changes and contact
The effective date will be updated when this policy changes. For privacy questions or requests concerning information provided directly to the developer, contact:
